Digitalization of contract approvals and document signing across the HP TRONIC Group

HP TRONIC Zlín, a company with more than 30 years of tradition and a strong position in the consumer electronics market, is one of the leading retail and service groups in the Czech and Slovak Republics. Its portfolio includes well-known brands such as DATART, NAY, and ETA. The group employs over 4,500 people and operates an extensive network of branches, distribution centers, and central teams responsible for logistics, purchasing, marketing, and support across all its brands.

HP TRONIC was looking for a solution to digitalize the approval, signing, and archiving processes for contractual documents across the group. The previous document management approach relied on emails, which made information sharing, version control, and access rights management difficult.

The goal of the project was to implement a unified contract management system within the Microsoft 365 environment that would provide a clear workflow, electronic signatures compliant with legislation, and trusted document archiving. The solution aimed to centralize data and increase process efficiency and transparency across the entire HP TRONIC Group.

The solution was built on the TreeINFO for Microsoft 365, platform, which provides centralized management of the entire contract lifecycle, from creation and review to approval, electronic signing, and long-term archiving. The TreeINFO workflow automates each step of the approval process, including pre-approvals, initialing, notifications, and task escalations. Each user is assigned a specific role, ensuring a secure and transparent collaboration environment across departments and companies within the group.

Electronic signing is enabled through the OBELISK Signing Portal, allowing both internal users and external partners to sign documents. Signed contracts are then stored in the OBELISK Trusted Archive, which guarantees their authenticity, validation, and long-term legal verifiability in compliance with current legislation.

Building on the successful implementation, in 2024 HP TRONIC launched a follow-up project to expand the system with new business requirements reflecting the group’s growing needs. The enhancements included advanced search and reporting capabilities, workflow adjustments, bulk attachment uploads, simplified role management, and integration with Power BI.

Thanks to these improvements, HP TRONIC now operates in a modern, fully digitalized environment that unifies contract approval, signing, and archiving into one seamless process — becoming a key tool for managing back-office operations across the entire group.
